Purchasing / Construction Administrator

Arbor Homes, the largest homebuilder in Indiana, and the owner of Elite Homes, one of the largest builders in Louisville since 1976, and a Berkshire Hathaway Company, is currently looking to hire a Purchasing / Construction Administrator who must be familiar with and able to perform the following daily activities in the areas of purchasing, permitting and construction administration as follows:
Responsibilities and Job Description:
Purchasing Administration and General
- Assist Purchasing Agent with processing all Change Orders and Variance Purchase Orders
- Assist Purchasing Agent with processing Purchase Order revisions associated with variable field quantity commitments (i.e., cement, gravel, machine hours, etc.)
- Assist Purchasing Agent with maintaining and updating sub-contractor pricing in BuilderMT/Sapphire, as well as associated Sub-Contract Agreements and Addendums
- Monitor Trade Partners Insurance and Check Hold reports
- Supervise building permit process
- Maintain plan library and ensure that all changes made to plans are posted and communicated
Permit Administration
- Order house plans from architect, including structural options and items to be included on plan selected at time of sale
- Order plot plans from surveyor
- Coordinate review of house plans received from architect (i.e., ensure structural options and selections to be shown on plans are proper prior to submitting for permit)
- Assemble permit submission packages for municipalities
- Follow-up with municipalities to expedite permits for plans in review
- Address, pick up and resubmit plans after city review to respond to comments
- Manage revisions with architects which includes:
- Submitting revisions and required documentation with municipalities, as needed
- Ensuring revised plans are distributed to the field and designers after approval on a timely basis
- Request checks for permits and impact fees
- Maintain permitting and impact fee budgets
- File and maintain all permitting documents
- Coordinate maintenance of contractor registration and insurance updates as needed at each building department
Construction Administration
- Manage lot start notifications so all parties are informed of upcoming starts prior to release
- Prepare budgets and start packages for new starts, which includes, but not limited to:
- Importing selections from Sales platform (Sales Simplicity)
- Review selections and options with designer as needed to address any items of concern
- Creating new house Purchase Orders
- Generating budget and recap reports
- Integrating to accounting system after review and approval by Purchasing Agent
- Coordinate with Area Construction Manager to maintain job templates in Builder Trend/Sapphire
- Create Jobs and assign templates for the start of each home
- Ensure final house plans, permits, plot plans, design selections, POs, etc. are posted to Builder Trend/Sapphire for each start for access by the Construction Manager and Sub Contractors.
